CP Temporary CP Administrator Access (30-Day Rule)
When a Channel Partner (CP) user creates a Sub-Channel Partner (Sub-CP) or End User (EU) Organization in myDW, the system automatically assigns that CP user temporary administrative access to the newly created Organization.
This access is limited to a 30-day window and is designed to allow the CP to view and assist with initial setup, configuration, and the transfer process of administrative ownership for the Organization. This behavior applies even if an Admin or Owner is invited during the creation process.
This article explains how the Access Notice works, what actions are required, and what occurs when the temporary access period expires including:
- When temporary admin access is granted
- How system notifications behave during the 30-day period
- Required actions to prevent automatic removal
- What happens at the time of access expiration
Automatic Temporary Access
When a CP user creates a Sub-CP or EU Organization:
- The Channel Partner (creator) is automatically registered as the new Organization’s Administrator
- Access is temporary and valid for 30 days, beginning from the Organization’s creation date.
Upon creation, an Access Notice displays the expiration date upon the CP’s first-time connection with the Organization.
Selecting the “Don’t show this message again” option will hide the pop-up message, and the 30-day expiration countdown will continue in the background uninterrupted.
Inviting an Administrator to an Organization
- A Sub-CP Administrator or EU Administrator may be invited by the Channel Partner who created the new Sub-CP or EU Organization:
- During the Organization creation process.
- Or at any time during the 30-day period
- When the invited Administrator accepts:
- Ownership is automatically transferred from the Channel Partner to the new Administrator
- The invited Administrator becomes the Owner of the Sub-CP/EU Organization
- The Channel Partner’s temporary Admin status remains subject to the 30-day expiration. To retain Administrator status, the Channel Partner must receive permission from the new Owner in the Organization settings.
System Notices During the 30-Day Period
The timeline below outlines the what can be expected to occur during the temporary 30-day Administrator access.
Day 5 – Invitation Request Notice
Upon reaching the fifth (5) day of the new Sub-CP/EU Organization being created, the Channel Partner (Temp. Owner) can expect the following:
If no additional Admins have been added the Organization yet, a request to invite a new Administrator to the Organization will appear.
Once an invited Admin accepts, Organization ownership is automatically transferred, and the CP will remain temporarily assigned until expiration or they are manually removed by the new Owner.
Day 20 – Installer Account Notice (10 Days Remaining)
20 days after the Organization has been created and a Sub-CP Admin or EU Admin has received ownership; a confirmation notification will be displayed for the Sub-CP or EU Organization Owner upon logging in.
10 days before the CP’s temporary access expires, the Organization Owner will be presented with the following options:
- Keep – Selecting this option will remove the expiration date from the Channel Partner’s access and they will remain as an Administrator. However, ownership of the Sub-CP/EU Organization will be retained by the new lead Administrator.
- Remove – Selecting this option will confirm that the Channel Partner’s temporary administrative access should be revoked and automatically at the end of the 30-day window.
- Decide Later – Selecting this action will defer the decision until the next login.
If no option is selected, the Channel Partner’s temporary administrative access will automatically expire on Day 30 by default.
Day 30 - Behavior at Expiration
Once the end of the 30-day temporary access has been reached, the system will apply automated logic to the Sub-CP/EU Organization.
If ownership of the Organization has been transferred from the Channel Partner to a new owner:
- The Channel Partner’s temporary administrative access and profile will be automatically removed from the Sub-CP/EU Organization.
- No additional action will be required in this matter.
If the Channel Partner is STILL the owner, one of the following scenarios will occur:
- If no other myDW Administrator profiles exist
- If a transfer of ownership has been sent to a user, ownership will be transferred automatically, and the Channel Partner will be removed.
- If multiple myDW Administrator profiles exist but none have accepted the lead role, ownership will be transferred to the oldest existing Administrator account, and the Channel Partner will be removed.
This process prevents orphan Organizations from being formed and ensures the continuity of management. This behavior applies equally to Sub-CP and EU Organizations.
Important Notes
- Temporary Channel Partner administrative access is automatic and enforced by the system.
- Inviting an Owner at the time of Organization creation does not bypass the temporary access rules.
- The expiration time limit is enforced by the system, and the timer cannot be paused or extended.
- Ownership is always resolved automatically to prevent orphaned Organizations.
