CP Organization Creator - Temporary Administrator Access (30-Day Rule)
This article will outline the CP 30-day temporary access rule, the user invitation process, recorder registration during the access period, ownership transfer scenarios, and the Day 5, Day 20, and Day 30 system notices.
This article explains:
- What happens automatically during the 30-day period
- What actions are required from the CP and the new Organization Owner
- What the system does when the 30 days expire
Resolution:
When a Channel Partner (CP) creates a new Sub-CP or End User (EU) Organization in myDW, the system automatically grants the CP user temporary Administrator access for 30 days. This window allows the CP to assist with initial setup and transfer administrative ownership to the new Organization Owner.
Creating a New Organization
- The CP user is automatically registered as a temporary Administrator beginning on the creation date.
- Upon first connection, an Access Notice will appear displaying the expiration date of temporary access.
Note: This automatic 30-day temporary Administrator access is granted by the system at the time of Organization creation. It is separate from and unrelated to requesting temporary access to an existing Organization through LOGIN AS.
Note: Only End User organizations can register recorders. Sub-CP organizations cannot register recorders directly.
Inviting a User During Organization Creation
- Sub-CP Organizations — Inviting a user is required and cannot be skipped.

End User Organizations — Optional but strongly recommended. The user invited at creation is automatically granted Organization Ownership upon acceptance. If skipped, no additional users can be invited until an active Standard subscription is applied or a COVA recorder is registered with a valid promotion key.
Tip: DW feedback suggests inviting a service account email such as a Maintenance or Tech Support account to maintain access and ease the onboarding and management of the Organization.
Registering Recorders During the 30-Day Period
The CP Organization Creator can register recorders during the temporary access period. When the CP’s access expires and they are removed, the recorder’s connection to myDW will not be broken.
However, the following applies depending on recorder type:
- Spectrum and VMAX — Any registered Admin user can replace the CP's myDW credentials with their own directly on the recorder's myDW registration page.
- COVA — The CP’s credentials are tied to the recorder’s myDW registration. If an issue arises after the CP is removed, deleting the recorder from the myDW organization and re-registering it is the recommended resolution.
Tip: For Cova, DW feedback suggests registering the recorder with the service account or EU Organization Owner to avoid complications if the CP creator is removed at the end of the 30-day period.
Inviting an Organization Owner
Ownership is only automatically transferred in two scenarios:
- During Organization creation — The user invited at creation is automatically granted ownership upon acceptance.
- After the Day 5 notice — Upon login, the CP will be prompted with an invite user message. If the invited user accepts the Administrator invitation, they are automatically granted ownership.
Note: If ownership is not transferred through either of the two steps above, what happens next depends on whether other users exist in the Organization:
– If additional Administrators have been added via Users → Add User — the system automatically assigns ownership to the oldest existing Administrator account and removes the CP on Day 30.
– If no additional users have been invited — the CP will keep access past Day 30. Ownership will transfer automatically to the first Administrator who is added.
System Notices During the 30-Day Period
Day 5 – Invitation Request Notice
If no additional Admins have been added by Day 5, the CP will receive a notification to invite a new Administrator. Once the invited Admin accepts, ownership transfers automatically.
Day 20 – Installer Account Notice (10 Days Remaining)
Once an EU or Sub-CP Admin has received ownership, they will be prompted with a confirmation message upon their next login at Day 20. The Organization Owner must choose:
- Keep — Removes the expiration date. The CP remains as Administrator permanently until manually removed.
- Remove — Confirms the CP’s access will be revoked at the end of the 30-day window.
- Decide Later — Defers until the next login. If no option is selected, access expires automatically on Day 30.
Day 30 - Expiration
- Ownership transferred — The CP’s temporary access and profile are automatically removed. No action required.
- Ownership not transferred — The system transfers ownership to the oldest existing Administrator account and removes the CP automatically.
After Day 30 - Administrator Required Prompt
If a CP logs into an Organization after the 30-day period has expired and no Administrator exists, they will be presented with an Administrator Required notice. The CP can either enter an email address to invite the primary user (Owner), or dismiss the prompt by clicking Cancel and continue with full access.
Note: This prompt will continue to appear on each login until an Owner is invited and accepts.
Requesting Temporary Access to an Existing Organization
If a CP needs access to an EU Organization they are not already registered in, they can request temporary access through LOGIN AS within the Organization List. This is a different process from the automatic 30-day access described above.
Tip: This is where adding the service account earlier can be optimized. The Channel Partner can be granted temporary or permanent access from that service account.
Key Reminders
- Temporary Channel Partner administrative access is automatic and enforced by the system.
- Inviting an Owner at creation does not bypass the temporary access rules.
- The expiration timer cannot be paused or extended.
- The system will prompt for an Owner invitation on each login until an Administrator is assigned — Organizations are never left permanently unmanaged to prevent orphaned Organizations.
